Overview
IceCubes is a desktop application developed by AppOptima that helps you take AI-powered meeting notes. We are committed to protecting your privacy and being transparent about our data practices.
What Data We Collect
IceCubes collects and processes the following data locally on your device:
- Audio Data: Meeting audio captured temporarily for transcription purposes only
- Transcriptions: Text transcriptions of your meetings generated by Deepgram
- Meeting Notes: AI-generated summaries and your personal notes
- Google Calendar Data: Meeting titles, times, and attendee information (read-only access)
How We Use Your Data
IceCubes uses your data solely to provide the core functionality of the application:
- Display your upcoming meetings from Google Calendar
- Auto-detect when meetings start based on your calendar
- Show meeting attendees in your notes
- Generate AI-powered meeting summaries
- Store your notes locally for future reference
We do NOT use your data for:
- Advertising or marketing purposes
- Training AI/ML models
- User profiling or analytics
- Any purpose other than providing the app's core features
Data Storage & Security
- All user data is stored locally on your device only
- We do NOT operate any servers - no data is sent to us
- API calls go directly from your device to third-party services (OpenAI, Deepgram, Google)
- Sensitive data (API keys, OAuth tokens) are encrypted using macOS Keychain
- No analytics, telemetry, or tracking is collected
Data Sharing & Disclosure
We do NOT sell, trade, rent, or share your personal data with any third parties.
Your data is processed locally and sent directly to the following third-party services only as required for app functionality:
- Google: To read your calendar events (via Google Calendar API)
- Deepgram: To transcribe meeting audio (audio is processed in real-time and not stored by Deepgram)
- OpenAI: To generate meeting summaries (transcript text only, no audio)
These third-party services have their own privacy policies governing their use of data.
Data Retention & Deletion
- Meeting Notes: Stored locally until you delete them
- Audio Data: Temporarily processed for transcription, NOT permanently stored
- Calendar Data: Cached locally and refreshed from Google; not permanently stored
- OAuth Tokens: Stored securely in macOS Keychain until you disconnect your Google account
To delete your data:
Google Calendar Integration
IceCubes requests read-only access to your Google Calendar using the calendar.readonly scope. This allows us to:
- Display your upcoming meetings
- Auto-detect when meetings start
- Show meeting attendees in your notes
We do NOT:
- Modify, create, or delete calendar events
- Store calendar data on any external servers
- Share your calendar information with anyone
Children's Privacy
IceCubes is not intended for use by children under 13 years of age. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this privacy policy from time to time. Any changes will be posted on this page with an updated revision date.
